How to Choose a Salon Booking System: A Buyer Checklist
How to choose a salon booking system in Qatar: a vendor-neutral checklist covering WhatsApp, Arabic, deposits, data export, pricing models and contracts.
Choosing a salon booking system is easier when you decide what you need before you look at any product. This page is a checklist for salon, spa, barber, nail and beauty-clinic owners in Qatar. It is vendor-neutral: it does not tell you which product to buy, and it will not save you from asking each vendor the questions below.

Where we state a fact about a vendor or a law, it comes from that vendor's own page or from a government page, listed at the end.
Start with your own problems
Before you compare anything, spend a week writing down what goes wrong today. Our suggestion: keep a simple list of double bookings, no shows, WhatsApp messages typed into a calendar by hand, deposits chased one by one, and end-of-day numbers someone adds up manually. That list becomes your requirements. A feature you will not use is not worth paying for, and a missing feature on your list is a reason to keep looking.
The checklist
For each item, ask the vendor to show you, not just tell you. A demo on a real day in your salon, with your services and your staff, beats a features page.
1. Online booking that clients will actually use
- Can a client book on their phone in a few taps, without creating an account first?
- Does it show only the services and staff that are really available?
- Can you set how far ahead people can book, and how much notice you need?
- Can you put the booking link in your Instagram bio, on Google and on your website?
Open the client-facing booking page on your own phone and try it as a client would. Our view: if it is slow or confusing for you, it will lose bookings.
2. Staff calendars and services
- Separate calendars per person, with their own hours, days off and breaks.
- Different durations and prices per service, add-ons, and services that need two people or a room.
- One place to see the whole day, whichever channel the booking came from.
Ask what happens when two people try to book the same slot at the same moment. In our view, that is where double bookings tend to start. Wasla's bookings and reminders page describes every booking, from every channel, ending up in one calendar, and that is a good standard to hold any system to.
3. Reminders and WhatsApp
In our view, reminders are one of the features most worth checking, and WhatsApp may be where your clients already message you. Ask:
- Which channels are supported: WhatsApp, SMS, email?
- Does the message go out from your salon's own number, or from the vendor's?
- What does each message cost, and how many are included?
- Can a client confirm, move or cancel with one reply?
- Are Arabic and English versions of each message supported?

For an example of what a vendor publishes, Fresha's pricing page lists text and WhatsApp notifications as "100 free monthly then $0.02 per text or $0.04 - $0.11 per WhatsApp". Zoho Bookings' home page lists WhatsApp among the apps it connects with, and says it connects with "75+ Zoho and third-party apps". These are only examples, and they show why the questions above matter: two systems that both "support WhatsApp" can work and cost very differently.
4. Deposits and payments
- Can you require a deposit for chosen services only, such as long or high-value ones?
- Which payment methods can clients use, and which payment providers does the system rely on?
- What are the payment fees, and are they charged per transaction?
- Where does the money go, and how quickly?
Zoho Bookings' home page, for example, says it helps you "collect payments via Stripe, PayPal, Razorpay, and other major payment providers". Check whether the provider a system relies on is one you can actually open an account with as a business in Qatar, before you commit. We could not confirm that for any vendor from their pages, so ask.
5. Arabic, English and right-to-left
If your clients use Arabic, English or both, ask to see all of these in each language, not only in English:
- the client booking page, with proper right-to-left layout;
- the confirmation and reminder messages;
- the staff screens, if your team prefers Arabic;
- receipts and invoices.
Our view: a marketing page in Arabic is not proof that the software is. Test the booking flow itself. Our Fresha alternatives post, linked below, shows what a few vendors state about Arabic on their own pages, and where they do not state it.
6. Reports you will actually read
Ask which numbers you can see without building a spreadsheet: revenue by day, service and staff member, bookings by channel, no shows and cancellations, and returning versus new clients. Then ask whether you can get them without logging in, for example as a short daily message. Wasla's reports page describes a short daily summary sent to your phone, built from the tools you already use. Whatever system you pick, our suggestion is to check that its numbers can leave the system, so you are not stuck reading them on one screen.
7. Client follow-up
Booking is only half the job. Ask whether the system can prompt rebooking when a client is due, request a review after a visit, and flag clients you have not seen for a while. 8. Data export and ownership
Your client list and booking history are yours to keep. Ask before you sign:
- Can you export your clients and history yourself, in a common format such as CSV or Excel?
- Who on your team can export, and can you limit that?
- What happens to your data if you cancel?
As an example, Fresha's help centre says you can export your client list in Excel or CSV format, that access is controlled by a "Can download clients permission", and that client card details "cannot be exported or transferred". That last point is normal for payment cards, but it shows why you should ask what is not exportable.
Personal data also has a legal side. Qatar has a Personal Data Privacy Protection Law, Law No. 13 of 2016. In January 2021, the then Ministry of Transport and Communications (MOTC) said its Compliance and Data Protection Department had released guidelines for the law, to help regulated entities understand their responsibilities. That MOTC statement defines a data controller as a person who determines how personal data is processed and why, and a data processor as one who processes it for the controller. It also quotes Article 8, which says the controller "shall take appropriate administrative, technical and financial precautions to protect Personal Data". In our reading, a salon that decides how its client details are used is likely to be a controller, and a booking vendor that stores them for you is likely to be a processor. The MOTC statement is from 2021, and the body that publishes guidance on the law may have changed since, so check for the current official guidance before relying on it. We are not lawyers and this is not legal advice, so take advice if you are unsure.
The practical questions we suggest asking any vendor are: where is our data stored, who can see it, and how do we get it out or have it deleted if we leave?
9. Integrations and POS
- Does it connect to your calendar, your accounting tool, your POS and Google Sheets?
- Is there a built-in POS, or does it work with the one you already have?
- If a connection does not exist, can it be built, and by whom?
Zoho Bookings' home page says it offers "two-way sync for both Google and Outlook Calendar", which is the sort of specific claim to look for. A vague "integrates with everything" is not one. 10. Pricing model
We do not give a price for a salon booking system here, because it depends on your team size, your payment volume and which features you use. What we can do is show the types of charge a vendor may use. From the vendors' own pages, as shown in US dollars on the pages we opened (none of them states a price in Qatari riyals):

Add the parts together for a typical month, and ask each vendor for the price in the currency you would be charged in Qatar. Our suggestion: write your own team size and monthly booking count next to each quote so the numbers can be compared fairly.
11. Contract, cancellation and trial
- Is it month to month, or a longer commitment?
- Can you cancel yourself, and does anything happen to your data when you do?
- Is there a free trial, and does it need a payment card?
- Are there set-up, training or onboarding fees?
Two examples of what vendors publish: Booksy's US pricing page says "No commitment" and "Cancel anytime", and offers a 14 day trial "no credit card or commitment required". Zoho Bookings' pricing page says, in answer to whether you can cancel at any time, "Absolutely. There are no penalties, and you won't be charged again." Terms differ by vendor and country, so get yours in writing.
12. Support: hours, language and response time
Ask when support is available and in which language, and whether it covers your working days and hours in Qatar. Our view: the worst time for a booking system to break is when the salon is busiest, so find out who you would reach then. Ask how quickly they promise to answer, in writing, and whether help is by chat, phone or email.
Score your shortlist
Once you have two or three candidates, put them in a simple table. Our suggestion is to mark each item on your list as "must have", "nice to have" or "not needed", then score each vendor only on what you marked. Run the demo with your real services and staff, and ask the same questions of every vendor. Then try the free trial with your own team for a week, if there is one.

Frequently asked questions
What is the most important feature in a salon booking system? There is no single answer, so we suggest starting from your own list of problems. Salons differ, and you know yours better than a features page does.
Is a free trial enough to decide? It is a good start, if it lets you test the client booking page, reminders and Arabic with your own team. A trial cannot tell you how support behaves on a bad day, so ask about that separately.
Do I have to replace my current tool to get automation? Usually not. If the tool itself works, the problem may be the manual work around it, and Wasla works with the tools you already use wherever they allow it. If a tool cannot connect, we will tell you before you spend anything.
